Minutes from NVCA meeting
Held at Boars Head, Newchurch

• 2 Minutes from last meeting

Agreed as a correct record.

Went through action points:

• An action for someone to point out that land at Greendale that could be earmarked as housing could be unstable due to land slippage issues. No name put to action, so RM will do this.

• 3 Jubilee Update

• Financial update given by Iain. All agreed that it was a successful event.
• Agreed that we could now make donation to charity (proposed by Natalie and seconded by Val).
• Iain to make donation to Queen’s Jubilee charity and RM to send letter and cheque to Theo’s Big Leap.
• See Appendix 1 for details of money raised.

• 4 Grant Funding

• RM to resubmit to the Northern England Horticultural Society in Dec for up to £500 for materials and plants for the garden area.
• There could potentially be additional funds available from LCC – RM to arrange to meet with Cllr Winder to discuss this.
• Some other things to fundraise for include: Christmas tree (permanent or temporary on green), lights, lights on our properties, xmas trees on shops etc. RM to ask RBC for advice.

• 5 Newkirk Fair

• Janet has some photos of the last event that we can refer to.
• Simone spoke to About My Area where we would be able to post info about the event or request info about earlier events.
• Simone might be able to get marquees and tents, depending on the timing of the event.
• Location – probably best to start off with the first one being on the side road outside the pub because it’s visible with good dry surfacing.
• Will have a separate committee to help arrange and organise this because it will be a big event.
• We will pick a date for this at the AGM and advertise widely.

• 6 Proposed changes to Constitution

• Iain ran through proposed changes that we will put forward at the AGM. These included: Taking out the figure relating to membership costs (as this might vary in future). Changing the wording so that the main posts are re-elected every 3 years to give opportunities for others to get involved.

• 7 Sponsorship of Website

• As a way of bringing in funds to cover costs of running the website and postage and insurance etc.
• Businesses could be a ‘friend’ of NVCA and pay a fee, and have a link to their website from our webpage. This would be the simplest and easiest.
• Agree at AGM

• 8 Proposed dates for meetings in the coming year

• Agreed that it made sense to arrange quarterly meetings in advance for the coming year for the main NVCA meetings, with additional meetings as required. Dates to be agreed at AGM

• 9 Any Other Business

• Iain circulated the Accounts to date (see Appendix 2)
• Set date for Carol Singing as Tuesday 18th Dec starting at 6.30 in the pub for a drink and singing at 7pm for an hour. RM to provide a map of the area and carols to be agreed in advance. Speak to Brandwood in advance too and arrange to go in and sing.
• RM to contact Cllr Winder about state of road outside the pub which has been causing issues for our neighbours.
• Staghills Play Area – Natalie said there was a petition in the local shop about this from the kids. Greenvale officer said she was looking into it too. RM to check the Play Strategy to see what it says about it and Simone to contact Greenvale for update.
• There are ‘Sing Along’ Sessions at the Boars Head coming up – get the dates in your diaries:
Saturday 13th October from 5pm with Jason Feber
Sunday 28th October from 5pm
Sunday 23rd December from 5pm – carols.

• 10 Next Meeting

• Tuesday 13th November at 7.30 for AGM
• Followed by regular meeting at 8pm. Advertise this widely in order to get as many members as possible and to discuss Newkirk Fair.
